What we collect, why we need it, who handles it and how long we keep it.

Who is responsible for your information

MOUNTAIN ASH CONSTRUCTION LTD, trading as Mountain Ash, is the data controller. Our company number is 17206952 and our registered office is 24 Picton House, Hussar Court, Waterlooville, Hampshire, United Kingdom, PO7 7SQ.

What we collect

When you use the quote form, we collect the project route you choose, your town, name, phone number and email address. You can also choose to tell us which services might be involved, where the project is up to, and any further details. If you call or email us, we collect the information you give us in that conversation.

Our form and hosting providers may also process limited technical information needed to deliver the page, prevent spam and keep the service secure, such as request, device and network information.

Why we use it and our lawful basis

Enquiries and quotes

To understand the work, contact you, arrange a visit and prepare a quote. We rely on contract: you have asked us to take steps before potentially entering into a contract.

Projects and customer service

To plan, deliver and communicate about work you instruct us to carry out. We rely on contract.

Records, disputes and security

To keep records required by law, protect the website, prevent misuse and establish or defend legal claims. We rely on legal obligation and our legitimate interests in operating and protecting the business.

You do not have to send an enquiry, but we cannot respond or prepare a quote without a project route, town, name, phone number and email address. The other form fields are optional and help us understand the job.

Who handles your information

  • Formspree processes online form submissions, stores them in its Submission Archive and sends the notification email.
  • Microsoft 365 provides our business email and communications service.
  • Cloudflare hosts and protects the website.
  • Our professional advisers, insurers and the contractors or specialist trades involved in pricing or delivering your requested work, but only where the information is necessary.
  • Regulators, courts, law enforcement or other authorities where we are legally required to share it.

We do not sell personal information. We do not use enquiry details for unrelated marketing unless we first give you a clear choice and have a lawful basis to do so.

International transfers

Formspree is based in the United States. It states that it acts as a data processor and relies on Standard Contractual Clauses for relevant international transfers. Other technology providers may also process information outside the United Kingdom. Where this happens, we require an approved transfer mechanism or another safeguard recognised by UK data-protection law. You can ask us for information about the safeguards that apply.

How long we keep it

  • Enquiries that do not become projects: up to 24 months after the last meaningful contact, then deleted from the active Formspree and email records unless needed for a dispute or legal requirement.
  • Customer, project, contract and transaction records: normally seven years after the end of the project or business relationship. This covers the six-year company-tax record period and allows time to deal with accounting, warranty and legal matters.
  • Security and technical records: only for the period set by the relevant provider or for as long as needed to investigate a problem.

We may keep a record longer where law, an active dispute, an insurance requirement or a regulator requires it. We may delete information sooner when it is no longer needed.

Map and website measurement

The Contact page includes a map served by OpenStreetMap. Loading that map sends the normal technical request information to OpenStreetMap. You can read the OpenStreetMap Foundation privacy policy.

Cloudflare Web Analytics is not enabled on this build. We do not currently run a browser analytics script.

Automated decisions and AI

We do not use your information to make solely automated decisions that have legal or similarly significant effects. The quote form's project route only sorts the enquiry for our team; a person reviews and responds to it. If we later introduce AI-assisted replies or lead processing, we will review and update this notice before that use starts.

Your rights

Depending on the circumstances, you can ask us for a copy of your information, ask us to correct or delete it, restrict how we use it, object to processing based on legitimate interests, or ask for information you provided in a portable format. These rights are not absolute and can depend on the lawful basis and any records we must keep.

Your right to object: you can object at any time to direct marketing. You can also object to processing based on legitimate interests; we will stop unless we have a compelling lawful reason to continue.

Questions and complaints

Please contact us first so we can try to resolve the issue. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Changes to this notice

We review this notice when our forms, providers or uses of personal information change. If a change materially affects how we use information already collected, we will take reasonable steps to bring it to the attention of the people affected.
